Context

The African Wildlife Foundation, Cameroon Office has initiated a Young Graduate Professional Internship Programme to offer an opportunity to young graduates to gain experience and to familiarize with the non-governmental organization environment.

Position Summary

The Administration Intern will carry out responsibilities in some or all of the following functional areas: Filing, database management

Responsibilities

Reception Desk

  • Assist in operating the reception desk with a poise and professionalism;
  • Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel;
  • Endeavour to present a good image of and create a positive first impression on staff and visitors alike, by answering enquiries and maintaining a good and professional personal appearance;
  • Assist in answering all incoming and outgoing telephone calls, and forwarding incoming phone calls, referring parties to appropriate staff members or departments, and ensure respect of the procedure established for control of telephone use;
  • Check, sign and transmit incoming mail, fax, letters, packages and documents dropped at the office or any other messages to appropriate staff and liaise with express mail services for the dispatch of letters and other documents when needed.

Admin Support

  • Keep daily attendance register for outsourced workers and visitors;
  • Record, sort and date stamps incoming mail and courier deliveries;
  • Assist the FAM in managing the contact directory;
  • Assist the team with printing, copying, binding, scanning, photocopies when needed;
  • Assist in the organization of meetings, seminars and trainings;
  • Assist in archiving of administrative information and maintain database as assigned by Administrative and Logistics Assistant and Finance and Administration Manager
  • Perform other related duties as required.

IV. Learning

The Young Graduate Professional Internship Programme is a learning opportunity, therefore, the Professional intern MUST demonstrate a strong aptitude and motivation to learn and grow. He/she should be opened to feedback and ready to take initiatives.REQUIREMENTS

  • Minimum of HND (DUT, BTS in French sub-system) in business Administration
  • At least 6 months of progressively responsible professional experience as front desk representative, agent or relevant position; Familiarity with office machines (e.g. fax, scanners, printer etc.);
  • Knowledge of office management and basic Financial/ Accounting experience would be an added advantage
  • Proficient in English and French (oral and written);
  • Excellent knowledge and proficiency in the use of MS Office application (especially Excel and Word);
  • Experience in using ERP system is highly desirable.
  • Strong communication skills;
  • Good organizational and multi-tasking abilities;
  • Customer service orientation.
  • Knowledge of automated administrative systems
  • Knowledge of general record keeping and filing systems;
  • Ability to understand and apply current administration guidelines, system updates and revisions, and policy changes;
  • Team oriented, flexible and adaptable with positive attitude
  • High ethics and a personal commitment to transparency and accountability;
