Finance and Administration Assistant

Cameroon, Campo Ma’an

DESCRIPTION

The Finance and Administration Assistant (FAA) will provide to ensure logistical, administrative and financial support to the Campo Ma’an program team to ensure successful program implementation. This will include oversight of payments during community workshops, meetings and Patrol kick-offs. In addition to this he/she will handle daily reviews and processing of portal requisitions and retirements submitted by Campo-Ma’an team in compliance with AWF’s internal and donor policies and procedures. This position will also provide support effective administration, vehicle management and routine tasks that require urgent action and frequent follow-ups between field and program support staff. This position will be based in Campo with regular support to Niete and report to Senior Finance and Administration Officer with matrix reporting to the Technical Advisor, Campo Maan.

 

Responsibilities

 

Compliance

 

· Support the field team in understanding and adherence to AWF financial and Administrative policies and procedures

Ensure complete and timely posting of all expenses for the monthly close of books

· Ensure field activity/travel balance deposited by field staff is receipted on monthly basis and receipts shared with Cameroon central F&A team for staff ledger reconciliation.

· Administer petty cash float, initiate and oversee timely top-ups and organize petty cash payment processing

· Input petty cash expenses in the system as part of the monthly close

Financial

 

Provide financial and other support to field staff in Campo and Niete, in several functions varying from portal system training and assistance to actual processing of transactions in the portal on their behalf.

Input and submit any direct invoices with adequate documentations and follow up with Support staff on approvals in AWF’s financial system.

Process staff travel advance requests/reimbursement, disburse cash, review advance retirements, generate credit memos and identify any issues.

Reconcile employee vendor cards and travel advance holding account on a regular basis.

Scan all financial documents and trip expense backups.

File and archive all financial documents per established systems.

Maintain electronic logical coding, indexing and references of scans.

Review trip retirements and identify any issues.

Maintain optimum petty cash balances and advise the supervisor of cash replenishment requirements.

Assist the procurement team with sourcing of quotes for purchases.

Other relevant duties as assigned by the Supervisor

Administration

 

Ensure office is clean and supervise in organizing maintain common areas

Maintain adequate office supply and track inventory

Ensure availability of consumables like coffee, tea, milk, sugar and hot water for staff, consultants, and visitors on a daily basis by maintaining adequate stock, periodically.

Liaise with Technical Advisor and Project Officer to ensure advance preparations required for meetings, seminars and trainings

Facilitate accommodation reservations and logistics for AWF staff/guests visiting the field on needs basis

Regularly check, identify and report office problems (broken locks and Windows, areas in need of repairs etc.) to supervisor to ensure these are reported to Supervisor and handled in a timely manner

Any other relevant duties

REQUIREMENTS

Qualifications

 

Bachelor’s Degree in Finance, Business, Accounting or related field

Certified Public Accountant (CPA or equivalent.

At least two years’ experience in a busy finance office.

Strong level of competence in Microsoft Excel.

Ability to work effectively in remote and challenging areas, in cross-cultural situations and multicultural environment. Knowledge of any accounting system is an added advantage.

Ability to pay attention to detail and follow instructions.

Self-organized and able to take initiative

High aptitude and willingness learn.

Knowledge of donor compliance eg EU, KFW, etc

Fluency in written and oral French. Fluency in English a strong advantage

Ability to manage sensitive and confidential matters at the highest level of professional.

Strong problem-solving skills and organizational skills.

Ability and willingness to stay in remote location and travel within the landscape with sometimes physically challenging conditions

Ability to work with minimal supervision
