ROLE PURPOSE

Plan International is an independent child rights and humanitarian organisation committed to children living a life free of inequality, exclusion and injustice.

This role is to provide supervision and coordination to all the sponsorship activities, processes and staff in the Program Area to sustain good relationship between Plan, sponsored families and sponsors following global guidelines.

Dimensions of the Role

The Country Sponsorship Manager (CSM) will report to Head of Programmes and will work collaboratively with all other departments in the Programme Areas. S/he supervises a team of Sponsorship staff based in Biteng, Maroua, Garoua, Bamenda, Bertoua and CO. The CSM leads the implementation of phase-out and phase-in strategy of Plan communities within the framework of country Strategy design and implementation. S/He manages an average annual budget of 350,000 EUR. S/He is a key member of extended leadership (ECLT).

Accountabilities

Key End Results of Position:

Develop and update Plan International Cameroon sponsorship strategy and annual plans. Plans and organizes work to meet sponsorship objectives. Contributes to sponsorship systems and policies development. Builds and maintain good relationships with Plan International Cameroon functional departments, WACAH Countries, NOs and GH. Supports capacity building of Plan Staff, CVs members of SP communities on sponsorship systems and sponsorship issues. Represents Plan International Cameroon in sponsorship related forums and networks. Manage the sponsorship department and staff in Plan International Cameroon. Ensure that Sponsorship Corporate systems are always in place, updated, secured and maintained as per GH/WACAH standards and data entry of corporate systems is always error-free. Ensure the production of sponsorship communications in the field follow the sponsorship Manual guidelines All electronic transactions of the sponsorship corporate systems are always done effectively and on time. Administrate Child Data system and ensure the successful rollout of all Child Data releases with ITM. Ensure all receiving NOIs are responded to on time and with good quality. All corporate/personal communications are reviewed on a regular basis to assess whether they meet or exceed organizational minimum standards. Support PUs to take remedial action when problems occur and/or when remedial action is required. Ensure the sorting out and dispatches of all outgoing and incoming sponsorship communications including tracking of dispatches on time. Coordinate and follow-up sponsor’s visits between field and NOs, arranging all logistics for the visit and ensuring the successful completion and reporting of the visit. Ensure the quality check and timely submission of all Sponsorship communication/documents sent from Cameroon to RH/NOs/GH. Ensure up-to-date training packages are always available on all sponsorship processes and systems. Ensure all changes in sponsorship are always oriented to all staff concerned as on when occur. Plans effectively the teamwork and produces high quality results. Shows leadership in organizing/handling work and staff. Motivates focus in the work and handles work related issues swiftly. Updates sponsorship team, Area teams, eCLT and CLT members with all changes. Provides periodical reports and analysis to PA/Us, eCLT/CMT, RH and GH on the sponsorship performance. Supports PIIAM, PIIAC and PIM ensuring that PSAF and community Agents and volunteers are fully involved in project delivery. Identification and mitigation of country and systemic risks associated with sponsorship Coordinate the production of a sponsorship area documents (SPAR) and ensure timely submission to the SCHUB (Sponsorship communication hub) Ensure that Caseload for the country is properly managed and closely monitor Green sheet for each FY and long tern growth plan. Any other task assigns by the supervisor.

Dealing with Problems:

Consulting and abiding with Plan International policies and procedures in dealing with sponsorship management situations/problems. Expanding the in-house consultation in case of facing situations not covered by established policies or procedures. Seeking advice from other PUs for unique situations. Applying the best of personal judgement that is informed by the children’s and Plan’s best of interests. Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Internal Communication

Program Implementation & Influence Area Manager & Sponsorship Coordinators- High level of communication to report, seek approvals, sharing reports and views to strengthen the Sponsorship quality and to ensure continues support for the sponsorship quality and compliance with Plan policies. ASC & teams, Daily communication for better integration between the Sponsorship & Project Managers to insurer the alignment between sponsorship staff and program staff in order to achieve all sponsorship KPIs and commitments specially commitment #2 as well generate & process quality communications.

External Communication

Internal: Communication is required for all processes of sponsorship (Implementation of sponsorship updates, systems changes and Reporting) High contact with: PIIAMs and Program Managers. Frequent contact with: Cameroon Sponsorship team and ITs.

External – RH focal person, NOs and GH.

Technical expertise, skills and knowledge

Presentation skills

Knowledge and expertise

A high level of written and spoken English. Excellent communication skills Proven ability of mentoring, coaching and training on Child and young people safeguarding related topics. The post holder is expected to have considerable knowledge of the national and international instruments related to Sponsorship, knowing Sponsorship how to process quality communication in the corporate system to maintain the relationship between sponsors and sponsored children Substantial experience of working with communities and community volunteers in the development and humanitarian field; Demonstrated ability to set up learning and development processes for staff and community Volunteers on how to manage school or community sponsorship.

Physical Environment

Must work in busiest environment outside the office with multi stakeholders. Must work outside in an extremely hot and humid climate to perform her/is tasks. Must work under high stresses. Must work off hours after daily working hours when ever requirement arises.

Level of contact with children

High level: Frequent interaction with children as key person providing supervision and coordination to all the sponsorship activities, processes and staff in the program area to sustain good relationship between plan, sponsored families and sponsors.
