Ensure front-office reception and manage the Directorate’s document flow (incoming and outgoing mail, emails, files, reports, etc.).
Organize and prioritize the line manager’s agenda in line with operational and strategic requirements.
Draft, process, manage and archive administrative documents while ensuring proper filing, traceability, confidentiality and compliance (routine correspondence, meeting minutes, activity reports, etc.).
Ensure professional communication with all internal and external stakeholders.
Efficiently use office automation tools and strictly comply with internal procedures.
Organize business travel (registrations, reservations, accommodation, transportation, etc.).
Manage service providers (analysis of offers, preparation of purchase orders, follow-up of payments, etc.).
Handle unforeseen situations with responsiveness and professionalism.
Ensure strict confidentiality of all information handled.
Provide auxiliary support on cross-functional tasks according to Management’s needs (internal communication, organization of internal events, liaison with partners).
Qualifications
Minimum of a Bachelor’s degree (BAC +3) in Executive Secretariat / Executive Assistance, Administration, Archiving, Management or related fields (a G1 Baccalaureate in Executive Secretariat is highly recommended).
Experience
A minimum of three (03) years’ experience in a similar position would be a strong asset.
Know-How
Knowledge of secretarial and executive assistance techniques.
Knowledge of front-office reception techniques.
Professional communication techniques (internal and external).
Basic knowledge of administrative management.
Knowledge of agenda management and meeting organization.
Strong administrative writing skills.
Excellent written and spoken French and English.
Proficiency in Microsoft Office Suite and ability to use document management and collaboration tools (Teams / SharePoint or equivalents).
