{"id":55728,"date":"2025-11-06T14:22:06","date_gmt":"2025-11-06T13:22:06","guid":{"rendered":"https:\/\/louma-jobs.com\/cameroun\/?post_type=emplois&#038;p=55728"},"modified":"2025-11-06T14:22:09","modified_gmt":"2025-11-06T13:22:09","slug":"administrative-associate","status":"publish","type":"emplois","link":"https:\/\/louma-jobs.com\/cameroun\/recrutements-emplois-stages\/2025\/administrative-associate\/","title":{"rendered":"ADMINISTRATIVE ASSOCIATE"},"content":{"rendered":"<p>Position: Administrative Associate  (Admin Associate II)<br \/>\nLocations: Yaounde, Cameroon<br \/>\nEnd Date: November 17, 2025<br \/>\nReport to: Director of Administration &amp; Finance<\/p>\n<p>Project Description<br \/>\nMeeting Targets and Maintaining Epidemic Control (EpiC), a global project funded by the U.S. President\u2019s Emergency Plan for AIDS Relief (PEPFAR) and the U.S. Department of State (DOS), that provides strategic technical assistance and direct service delivery to achieve HIV epidemic control among all at-risk populations; strengthen global health security (GHS), including outbreak response; expand tuberculosis detection and treatment (TB), improve maternal and child health (MCH), address malaria; and promote health systems strengthening (HSS) including supply chain management.<br \/>\nThe EpiC Cameroon buy-in will support the continuation and expansion of life-saving HIV prevention, treatment, care, and support services in Cameroon, building upon the foundational work of previous PEPFAR-funded initiatives. The focus will be on strengthening community-led platforms and integrating them with facility-based systems to increase access to quality HIV-related services, particularly for populations at higher risk of HIV, long distant truck drivers (LDTD), Children and Adolescents Living with HIV (C\/ALHIV), HIV-exposed infants (HEIs), and their caregivers. The program will contribute to closing gaps mainly towards HIV case finding (the first 95) while maintaining the gains of the second and third 95 of the UNAIDS target. Collaboration with the Government of Cameroon (including the Ministry of Public Health and the National AIDS Control Committee), PEPFAR clinical partners, the Global Fund, and local community organizations will be essential to ensure the delivery of high-quality, evidence-based case finding, family-centered where necessary and population-specific interventions.<br \/>\nJob Description<br \/>\nPerforms a variety of administrative and office support duties. Position requires knowledge of<br \/>\norganizational and departmental policies and procedures in order to communicate information<br \/>\ninvolving programs, functions, and services. Duties performed may include preparation of<br \/>\ndocuments and reports, the use of office technology, compiling records, organizing and<br \/>\nmaintaining files, posting information, greeting\/ referring\/ assisting others, mail distribution, and<br \/>\nphotocopying. The range of duties includes, but is not limited to, collecting and verifying data,<br \/>\nsummarizing and reconciling information or financial data, records management, review and<br \/>\nprocessing, research and inventory. <\/p>\n<p>Job Responsibilities: <\/p>\n<p>\u2022    Serves as the primary point of contact for input from internal and external contacts.<br \/>\n\u2022    Reviews data and information for completeness and accuracy using standard guidelines;<br \/>\nperforms tasks with attention to detail.<br \/>\n\u2022    Takes messages or fields\/answers to address routine and non- routine questions.<br \/>\n\u2022    Schedules meetings and meeting arrangements; must serve as the \u00ab\u00a0gate keeper\u00a0\u00bb for the schedules, determine needs, and handle conflicts in schedules with professionalism.<br \/>\n\u2022    Prepare routine status reports and track office-related metrics<br \/>\n\u2022    Coordinate scheduling, organizing, and execution of meetings, events, conferences, and<br \/>\noffsites.<br \/>\n\u2022    Assist in maintaining inventories, records, and receipts.<br \/>\n\u2022    Coordinate office renovations and relocation activities.<br \/>\n\u2022    Provides administrative support to staff for copying, faxing and large- scale mailings.<br \/>\n\u2022    Responds to staff requests for administrative support as needed.<br \/>\n\u2022    Sets up and maintain files, prepares reports, presentations, and graphics, provides employees with office supplies, performs data entry, proofreads, and compiles special reports.<br \/>\n\u2022    Receives and distributes incoming mailing and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution.<br \/>\n\u2022    Assists with the preparation of background materials for meetings and conferences.<br \/>\n\u2022    Provides meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics).<br \/>\n\u2022    Prepares and maintains documentation, plans, reports, schedules, databases, spreadsheets, logs, etc. to support functions.<br \/>\n\u2022    Organizes and prioritizes large volumes of information and tasks.<br \/>\n\u2022    Arranges complex and detailed travel plans and itineraries.<br \/>\n\u2022    Compiles documents for travel- related meetings.<br \/>\n\u2022    Processes travel expense forms.<br \/>\n\u2022    Compiles data and prepares reports.<br \/>\n\u2022    Drafts written responses or replies by phone or e-mail when necessary for staff members, as requested.<br \/>\n\u2022    Responds to regularly occurring requests for information.<br \/>\n\u2022    Works independently or as a member of a team on special and ongoing projects.<br \/>\n\u2022    Handles confidential and non-routine information and explains departmental policies when necessary.<br \/>\n\u2022    Manage petty cash transactions, including disbursements, reconciliations, and maintaining accurate records in accordance with financial policies.<\/p>\n<p>Education Qualification\/ Skills &amp; Experience<br \/>\n\u2022    Associates Degree or International Equivalent in Business Administration or Related Field; Bachelor\u2019s Degree preferred.<br \/>\n\u2022    Typically requires a minimum of 3+ years of relevant experience<br \/>\n\u2022    Proficiency in Microsoft Office applications such as MS Word, Excel, PowerPoint<br \/>\n\u2022    Previous experience working for a non-government organization (NGO), highly desirable<br \/>\n\u2022    Excellent written and verbal communication skills<br \/>\n\u2022    Ability to effectively coordinate, prioritize and work well with project staff in a fast-paced environment to achieve results<br \/>\n\u2022    Fluency in French and English preferred.<\/p>\n<p>This job posting summarizes the main duties of the job.
