Please scroll to the end of the section to get to know us better.<\/p>\n<p>Responsibilities<br \/>\nOperational Delivery<\/p>\n<p>Personal support to the CEO<\/p>\n<p>Act as point of contact to the CEO, handling and distributing confidential mails, telephone calls, faxes, etc.<br \/>\nManage the daily schedule of the CEO, ensuring his is aware of his schedule in advance and keeping appointments and meetings on time or changing schedules when necessary<\/p>\n<p>Co-ordinate and manage CEO\u2019s calendars (travel arrangements\/schedules), negotiating potential conflicts and identifying feasible alternatives and proactively coordinating pre-planning of trips with various internal stakeholders.<br \/>\nPerform a diversity of secretarial and administrative support activities including composing memos and correspondences, compiling reports, creation of spreadsheets and manipulation of spreadsheet data.<br \/>\nAhead of meetings with internal and external stakeholders: prepare agenda in advance, assist with, and provide research\/background information, content development and creation of presentations, coordinate meetings and follow-up execution of resulting actions.<br \/>\nCross-examine documents for CEO\u2019s review to ensure quality control and compliance to MTN policies.<br \/>\nManage sensitive matters and information regarding peculiar issues within the division\/function.<br \/>\nManage external contacts and contracts for the CEO proactively understanding who they are, which priority contacts are and keeping track of periodic communication needed for priority contacts.<br \/>\nAnticipate the CEO\u2019s needs and proactively bring together appropriate people and resources to support in addressing issues.<br \/>\nCoordinate the flow of the CEO\u2019s visitors, manage phone calls, and ensure proper arrangements for meetings.<\/p>\n<p>Develop and maintain a system that alerts to upcoming deadlines on incoming requests or events.<br \/>\nManage CEO travel arrangements and proactively coordinating pre-planning of trips with various internal functions, including arranging appropriate travel, visas, agendas and necessary contacts, country information, and other necessary preparations and reconciliations on his return<br \/>\nServe as Secretary during CEO\u2019s Official meetings<br \/>\nAssist and escort CEO during Official meetings nationwide<br \/>\nManage booking of CEO, coordinate flow of visitors and organize meetings<br \/>\nTransmission and follow-up of correspondences to request for audience.<br \/>\nFollow-up of corporate ceremonies<br \/>\nAct as the CEO\u2019s representative and ambassador to external constituents as directed<br \/>\nRequest and management of corporate gifts<br \/>\nCompose and edit letters, documents, e-mails, proposal and ensure follow-up with those that require responses and follow up replies.<br \/>\nManage critical couriers under the supervision of the CEO<\/p>\n<p>Prepare agenda and meetings scheduling with internal and external stakeholders.<br \/>\nManage Executive Committee Projects and other special assignments when and where applicable.<br \/>\nDraw up and manage the CEO appointment calendar as requested<br \/>\nFollow up organisation of BOD meetings with Company Secretary.<br \/>\nCreate and maintain filing systems (minutes of meetings, letters\/emails, presentations, etc) both electronic and physical as required by the CEO<br \/>\nProcess expense reports for the CEO<br \/>\nPeople<\/p>\n<p>Propose and champion organizational activities to enhance team cohesion within the department (recognition, digital, customer centricity, etc)<br \/>\nFinancial<\/p>\n<p>Process purchase requisitions in the system Support the budget optimization thrust by identifying and championing cost reduction initiatives in the execution of business operational deliverables.<br \/>\nCoordinate the organization of social events connected to the CEO\u2019s office and or facilitate the disbursement of refreshments for business meetings. This includes preparing cost estimates, managing the budgets, and coordinating all activities for the success of the program<br \/>\nOperational Business Reporting Duties<\/p>\n<p>Manage Executive Committee Projects and other special assignments when and where applicable.<br \/>\nCoordinate the delivery of specific reports and presenatations to support business operations<br \/>\nOther Responsibilities<\/p>\n<p>Maintain a tracker on office supplies and liaise with approved suppliers to place orders when necessary<br \/>\nCreate knowledge share materials and presenatations using latest instructional design techniques and learning strategies<br \/>\nGovernance<\/p>\n<p>Ad hoc and Operational Meeting<br \/>\nParticipate and provide inputs in operational meetings as and when required<br \/>\nSet up and manage ad hoc meetings for day to day operational requirements as and when required<br \/>\nEscalations<\/p>\n<p>Timely notification of escalations to the Manager<br \/>\nResolve escalations as per defined escalation \/ resolution procedures<br \/>\nOpco Operational<\/p>\n<p>Participate and provide inputs in project status meeting<br \/>\nPerformance<\/p>\n<p>Ensure effective execution of day to day operations and resolve operational issues<br \/>\nImprove productivity and quality through leading practice initiatives<br \/>\nReporting<\/p>\n<p>Provide inputs to the Manager (as required) relating to progress made in accordance with the measurement metrics set by the organisation<br \/>\nStaff Leadership and Management (Behavioural qualities)<\/p>\n<p>Ability to work in a team<br \/>\nHigh sense of confidentiality<br \/>\nAutonomous; accountable for meeting and prioritising own targets \/ deadlines<br \/>\nProvide information to the CEO on work accomplishments, individual \/ team challenges<\/p>\n<p>Lead team meetings and contribute on specialist \/ technical areas when required<\/p>\n<p>Qualifications<br \/>\nEducation:<\/p>\n<p> Minimum of 3 years in Administration or business-related equivalent or related field.<br \/>\nPost Graduate degree in similar or related field is an advantage.<br \/>\nExperience:<\/p>\n<p> Minimum 3 years\u2019 experience in an administrative role in a corporate environment carrying out general office responsibilities and procedures;<br \/>\nExperience Telecom is preferred.<br \/>\n Computer proficiency in MS Office Suite-Word, Excel, and Power Point; Oracle<br \/>\n Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, and copiers.<br \/>\n Ability to maintain a high level of confidentiality of all work-related issues and information;<br \/>\n Experience working in a global\/multinational enterprise with a good understanding emerging markets is preferred<br \/>\nCompetencies:<\/p>\n<p>Functional Knowledge: <\/p>\n<p>Basics of Local labor laws and regulations<br \/>\nPowerPoint presentations<br \/>\nBasics of project management principles<br \/>\nMission and key activities of the organization<br \/>\nBasic Data analytics and usage of databases<br \/>\nWellness &amp;
